Content Modules

A Content Module is a collection of documents with a similar theme or purpose, for example, running an accounting firm. Your organisation can subscribe to Content Modules (such as HowNow Accountants Content or Compliance Essentials from Business Fitness), updates to which can be automatically downloaded into your HowNow Content.

A document can be assigned to more than one Content Module.

When new content modules are purchased, entries are automatically made in the Content Module Select dialog – i.e. manual changes are not required.

Manual entries are made in the Content Module Select dialog (via the Content Module Details dialog) in the following situations:

  • When your organisation creates new Content Modules. Refer to Creating New Content Modules for more detail.
  • When you wish to repeat the download of a Content Update. Refer to Winding Back a Content Module if you wish to re-download a Content Update.

Creating a New Content Module

Your organisation can create its own Content Modules for grouping your own documents. By default, HowNow creates a content module called ‘Our Firm's Content’ that is automatically assigned to any documents you add to the database.

Your organisation can also subscribe to Content Modules (such as HowNow Accountants Content or Compliance Essentials by Business Fitness), updates to which can be automatically downloaded into your HowNow content.

A document can be assigned to more than one Content Module.

To create a new Content Module:

  1. Select File > Administration > Knowledge > Content Modules. The Content Module Select dialog appears.

  2. Click New. The Content Module Details dialog appears.

  3. Enter in the Content Module field a code of 10 or fewer characters (including spaces).

  4. Enter a Description that more fully explains what the Content Module will contain.

  5. Leave the Content Release at 0 (zero).

  6. Leave the Date Received field as it is. It is used later to record when the last content update was received.

  7. Leave the Automatically Receive This Content checkbox unselected (i.e. no tick in it). This option specifies which of the content products you receive from Business Fitness is the main product.

  8. Select the Default Content Module checkbox if you want this content module to appear as the default product on the HowNow Content Module drop-down list.

  9. Select the Firm Content option to specify that this content module is the content your firm creates or edits. Selecting this option causes the content module to be attached to any new items you add to the HowNow database.

  10. Click OK.

The Content Module will now exist in the database, but at this point, no Items (documents) have been assigned to the new Content Module. This is the next step. Refer to Assigning Documents to a Content Module.

Winding Back a Content Module

Occasionally you may need to repeat the download of a Content Update – e.g. if you accidentally deleted some Items.

  1. Select File > Administration > Knowledge > Content Modules from the menu. The Content Module Select dialog appears.

  2. Select the content module you would like to re-download , then click Edit. The Content Module Details dialog appears.

  3. Edit the Content Release field to reduce the number back to the appropriate Content Update number. For example, if you are up to Content Release 200, but you wish to download Content Updates 198 and 199 again (as an example), edit the Content Release number back to 197.

  4. Click OK when complete, and then click Close to exit the Content Module Select dialog.

  5. Select File > System Tools > General > Check for Updates from the menu to re-download the Content Updates.
